1. Routine Matters

  1. a) Approval of Agenda #06-24 Moved by: Matt Frolick Seconded by: Brad Shewfelt BE IT RESOLVED THAT the Cemetery Board hereby approves the October 1, 2024 agenda.

Carried.

  1. b) Approval of Cemetery Board minutes of March 13, 2024 # 07-24 Moved by: Beth Bruce Seconded by: Allen Cook BE IT RESOLVED THAT the Cemetery Board approves the Cemetery Board minutes of March 13, 2024, as presented.

Carried.

3. Business Arising out of the Minutes

  1. a) Plot map & layout discussion
  • Board discussed installing permanent markers and plot lines. This will require a legal survey and better mapping to review all plots and how they may interfere with possible open plots due to incorrect placement.
  1. b) Book Keeper Discussion
  • Board discussed deferring appointing a new bookkeeper until the mapping and layout permanent markers are in place. The Board discussed that the board members will do site locates in the interim.

Moved by: Brad Shewfelt Seconded by: Darin Evoy BE IT RESOLVED THAT the Cemetery Board defers discussion on vacant/unused plots until the permanent layout is complete, at which point the used pots can be accurately marked on the new map; once the vacant plots are identified the board can discuss the issue of internment rights and how and who these rights should be transferred to. Carried.

  1. c) Report: Internment Rights records
  • Discussed amending By-law 882-08 to include a process for transferring internment rights.

BE IT RESOLVED THAT the Cemetery Board requests the Secretary-Treasurer prepare draft amendments to By-law 882-08 including but not limited to a transfer procedure, no more tree planting, headstone placement on west side. Carried.

  1. d) Tree trimming limits
  • Board walked the cemetery and flagged trees to be removed. No trees were found to need immediate attention although brushing is required along the North side of the lower cemetery.
  1. e) Grave marker maintenance/straightening/lifting for 2025 #10-24 Moved by:

BE IT RESOLVED THAT the Cemetery Board will budget to straighten 35 more stones for 2025. Carried.

  1. f) Report: Land Rental Position
  • Secretary-Treasurer read to the Cemetery Board the Agreement between the Taylors and the Cemetery Board signed on November 10, 2017. The agreement states that the Taylors can use of land described as Part of Lot 19, Registrar’s complied Plan H-751, Part 2 Plan 1R5901, for farming purposes, until the Laird Cemetery Board for the Township of Laird requires the property for expansion purposes. Further, it is to be understood and agreed that this privilege will not extend to any other family member or subsequent owners.
  1. g) Entrance Map – revamp?
  • The Secretary-Treasurer communicated that the administrative office recently received a complaint that the cemetery map located at the gates

needs to be replaced due to weathered condition.

  • Board discussed that once the mapping is updated, a new map will be installed.

  1. a) Memo: 2024 Internment/plot sales (to date)
  • Board reviewed memo.

5. Five-year plan

  1. a) Five-year plan
  • It was generally agreed that the monument straightening program will continue for the next 4 years to complete the upper cemetery.
  • Board discussed the plan and will review it in January 2025.
